Lead Response & Follow-Up

Lead response and follow-up for local businesses

A missed call, a form answered the next morning, a quote nobody followed up on: each is a customer your marketing already paid for. We set up the replies, alerts and follow-ups that catch them.

The problem

Where do paid-for leads get lost?

After they arrive: a call that rings out during a job, a web form that sits in an inbox overnight, a quote that goes out with no second contact.

Each of these leaves a record you can count: missed calls in the phone log, the time between a form and the first reply, and the open quotes that never got a follow-up.

We count them from your own systems before we change anything, so you can see the before and after in numbers.

Do it yourself

What can you check yourself this week?

Four tests you can run on your own business this week, about two hours in total, that show where leads slip.

  1. Step 1: Call your business as a customer

From a number your team won’t recognize, call once mid-morning on a weekday and once after 5 p.m. Count the rings and note whether you got a person, voicemail, or nothing.

    10 minutes
  2. Step 2: Fill out your own website form

Submit your contact or quote form as a customer would. Note the time, then note when the first reply arrives, who sent it, and whether it answered the question.

    5 minutes, then wait
  3. Step 3: Count last week’s missed calls

Open your phone system’s call log for the last 7 days. Count the missed calls from numbers that aren’t already customers, then count how many got a call back the same day.

    20 minutes
  4. Step 4: Check last month’s open quotes

List every quote sent last month that wasn’t won. Next to each, mark whether anyone contacted the customer again after sending it, and when.

Questions

Questions about Lead Response & Follow-Up

Why isn’t this in a fixed plan?

Because it runs through your phones, email and CRM, and every business has a different setup. We look at your systems first and only commit to what we can deliver on them.

Do we have to replace our CRM?

Not necessarily. Most of this connects to the CRM or job system you already use. If yours can’t do the job, we’ll show you why and what the options cost.

Will customers know the first reply is automatic?

The wording is yours to approve. We write it to say what happens next and when a person will follow up, not to pretend a person typed it.
