CRM, automation, AI and sales systems for local businesses
Marketing brings the customer in. What happens next runs on your phones, CRM, quotes, scheduling and people. We audit those systems, then build what’s missing: CRM and integrations, automations, AI tools, and a sales process your team can follow.
What holds a business back once the marketing works?
The work between the first call and the paid invoice: how leads are recorded, how quotes are followed up, how jobs are scheduled, and how the owner sees the numbers.
When that runs on memory, sticky notes and the same details typed into three tools, each new customer adds work faster than it adds profit, and the owner stays the bottleneck.
We start with what you already use. Every recommendation names the tool, what it connects to, who on your team uses it, and what it costs per month.
What can you check yourself this week?
Four checks with a pen and your own tools, about two and a half hours in total, that show where time and customers leak.
Step 1: List every tool your team logs into
CRM, phone system, scheduling, invoicing, email, spreadsheets. Next to each, write who uses it and what it costs per month. Star any customer detail that gets typed into more than one.
30 minutesStep 2: Trace one job from call to invoice
Pick a job from last week. Write every step from the first call to the paid invoice, who did it and in which tool. Count how many times someone re-typed the customer’s name, address or job details.
45 minutesStep 3: Write down the five numbers you check every week
For each, such as leads, booked jobs or revenue, note where it comes from and how long it takes to get. Any number that comes from memory or a hand-built spreadsheet is a dashboard candidate.
20 minutesStep 4: Listen to three recent sales calls
Use recordings, or sit in on three calls. For each, note whether the price was explained, whether the main objection was answered, and whether the call ended with a booked next step and a date.

What does Systems, Sales & AI include?
It includes audits of your operations and sales process, then the build: CRM, integrations, automations, AI tools and dashboards, each scoped and priced before work starts.
Operations audit
One job traced from first call to paid invoice: every tool, every hand-off, every place the same details are typed twice. You get a written list of fixes in priority order.
Sales-process audit
Recorded calls and lost quotes reviewed against a written process: how price is explained, how objections are handled, and whether every call ends with a booked next step.
CRM setup, integration or migration
Your existing CRM connected properly, or a new one set up with your data moved over, so every lead, quote and job lives in one place.
Website and CMS integration
Forms, booking, quotes and payments on your website wired into your CRM, so nothing is copied over by hand.
Automations
Missed-call text back, quote follow-up, review requests after each job, appointment reminders and back-office tasks, each with rules you approve.
AI receptionist and AI chat
An AI that answers calls or website chat, qualifies the request and books or hands off to a person, following a script you sign off on.
Internal AI tools
AI built on your own price book, policies and past jobs: drafting quotes, summarizing calls, answering staff questions.
AI sales-training bot
A practice partner that plays a customer using your services, prices and the objections your team actually hears, then scores the conversation against your sales process.
KPI dashboards
The numbers you run the business on, such as leads by source, booking rate, average job and quotes outstanding, pulled automatically into one screen.
How is it priced?
Priced by scope
By scope, after we’ve seen your systems; it isn’t part of a fixed monthly plan.

- 2 · You get a written scope and priceWhat we build, what it connects to, and what you pay other providers directly (software seats, phone minutes, AI usage)

Questions about Systems, Sales & AI
How is this priced?
By scope. We look at your systems first, then give you a written scope and price before any work starts. Software subscriptions, phone minutes and AI usage are billed to you directly by those providers.
Do we have to replace our CRM?
Not necessarily. We start with what you use. If it can’t do what the business needs, we’ll show you where it falls short and what switching would cost, including the move.
Will an AI receptionist replace our staff?
It covers the calls and chats your team can’t get to: after hours, during jobs, at lunch. It follows rules you approve and hands anything outside them to a person.
What is an AI sales-training bot?
A practice partner your team talks or types to. It plays a customer using your own services, prices and common objections, then scores the conversation against your sales process so new hires can practise before they take real calls.
Who owns what you build?
You do. CRM accounts, automations, AI tools and dashboards are set up in accounts in your name, and your data stays yours.
